We are happy that you have chosen the library as the site for your event. While we do offer many library-sponsored programs, we also are happy to serve as a meeting place for organizations like yours. As with any public facility, we have set some guidelines for the use of the building:

Programs
Programs and special events conducted within the library should meet the recreational, cultural and informational needs of the community. These programs should be broad-based. Religious, political, or private business programs are discouraged. Generally, programs are free and open to the public. Fees can be charged only where expenses must be met. Businesses using the library meeting rooms, even for free public programs or staff meetings, must pay the business use fee of $50 for up to a half-day and $100 for a whole day. Private functions are billed at $100 per event, regardless of length.

Reserving the library for a meeting shall be done on a first come, first served basis with library events having precedence . Groups should not make repetitive, ongoing use of the meeting rooms more frequently than on a monthly basis. The absolute minimum span between regular meetings should not be less than ten days, which means that weekly meetings of any kind should be held elsewhere. The staff understands that short, multi-part programs may require more sessions over a shorter span of days. Any group using library facilities is responsible for maintenance and repair due to accidents or damage. Special permission must be obtained to use the library meeting rooms outside of regular hours. The only functions automatically approved for outside library hours are those engaged in by the library's funding agencies or those with a specific civic purpose.

Any promotions, news articles, or advertisements indicating that the library is the location of the event must be shown to the Library Director prior to their public release. The Director will check to see that the library's role as a neutral forum is clear in the announcements, and that the indicated use of the meeting facilities falls within library policy.

Refreshments
The library provides some tables of varying sizes. Please bring your own punch bowls, cups, paper goods, etc. We have a 55-cup coffee urn available, but we ask you to provide coffee, sugar and cream. Plan to have someone designated to serve. The use of alcohol is not allowed on the property.

In the back of the library auditorium is a kitchen unit with a small refrigerator, two burners, a small sink, plus storage space. Adjacent to the Grady Room is a kitchen area with a refrigerator, microwave, and coffee makers. Also, the library has a large refrigerator and sink in the staff lounge, which you are welcome to use if necessary.

Publicity
With enough advance notice we will be glad to include your event in our "Library Calendar" column in the local newspapers, as well as in an upcoming issue of our newsletter to Friends of the Library and an announcement on a small sign placed in our lobby. Contacting people to attend and generating special articles to the news media is your responsibility.

Clean-Up
Please leave the library meeting facility as you find it. The chairs are to be returned to auditorium style and the tables taken down and stored. We have brooms, a vacuum cleaner, and other cleaning tools available for your use, if you need them. Please take trash from the area to the outside trash cans, and replace the can liners. Liners are found in the cabinets in the kitchen area.
